Privacy Notice

This notice explains what personal data RamonY processes, why it is used, and how you can make a privacy request.

About this notice

RamonY is developed and operated by the Laboratory of Brain Development and Biological Data Science at EPFL. This notice explains what personal data we process when you use RamonY, how we use it, and the choices and rights available to you.

Who is responsible for your data

The data controller is École polytechnique fédérale de Lausanne (EPFL), EPFL, 1015 Lausanne, Switzerland. For privacy questions or requests, contact contact@ramony.ai.

What information we process

  • Account and profile information, such as your email address and any name or phone number you choose or are asked to provide.
  • Authentication and security information needed to verify sign-in, maintain your session, and protect your account.
  • Your questions, RamonY's responses, and the conversation context needed to answer your requests. Ordinary chats are also stored in your saved history.
  • Feedback you provide and basic information about your use of the service.
  • Limited technical and security information, such as request and system activity, needed to operate, protect, and troubleshoot RamonY.

How we use your information

We use personal data to provide and operate RamonY; authenticate users and maintain accounts; answer requests; maintain saved conversation history; protect the service from abuse and security threats; troubleshoot and maintain the service; manage reasonable usage limits; and respond to privacy requests.

RamonY processes personal data only to the extent necessary to provide, operate, secure, and administer the service and to respond to user requests. Processing is carried out in accordance with applicable data-protection law.

Conversation history

Chats are saved by default. To start a temporary chat, select the ghost button in Ask before sending your first message. Temporary chats are not added to your saved history and cannot be reopened after you leave the chat.

Temporary chats still use short-lived server processing buffers, which expire separately after you leave. Starting a temporary chat does not delete earlier saved conversations. You may request deletion of existing personal data by contacting contact@ramony.ai.

Service providers and recipients

Depending on how you sign in, an authentication provider may process information needed to authenticate you. Model and inference infrastructure receives the content needed to answer your requests. Infrastructure and other service providers may also process limited information on our behalf to host, secure, maintain, or support RamonY. We share only the information reasonably needed for those purposes.

When you sign in with LS Login, RamonY receives identity and academic-affiliation information needed to authenticate your account and determine eligibility for the service. Depending on the information released through LS Login, this may include your account identifier, profile information, email address and academic affiliation. RamonY does not receive or store your institutional password.

RamonY relies on third-party service providers for functions such as authentication, hosting, communications, and technical operation. The providers involved may process personal data in different jurisdictions depending on their service configuration. International transfers, where they occur, are handled in accordance with applicable data-protection requirements.

How long we keep your data

Personal data is retained only for as long as necessary for the purposes for which it was collected, including account administration, service security, compliance with applicable obligations, and resolution of disputes. Data may be retained longer where required by applicable law or necessary for legitimate operational, security, audit, or backup needs.

Account information and saved conversations may be retained while your account remains active. You may request deletion of your personal data through the privacy contact, subject to applicable legal requirements and exceptions.

Cookies and security

RamonY uses authentication and session cookies that are necessary for sign-in, security, and maintaining an authenticated session. We use technical and organizational measures intended to protect personal data. Sensitive authentication credentials are not intended to be retained in operational logs.

Your privacy rights

Subject to applicable law, you may request access to your personal data, correction, a copy or export, deletion, restriction, or objection where applicable. You may raise privacy questions or exercise your data-protection rights by contacting contact@ramony.ai. We may require reasonable identity verification to protect your data from unauthorized disclosure or deletion.

Some information may remain temporarily in backups or where retention is required for legitimate legal, security, or operational reasons.

Complaints

You may also lodge a complaint with the Swiss Federal Data Protection and Information Commissioner (FDPIC). Where the GDPR applies, you may also have the right to complain to the competent data-protection authority in your country of residence or work.

We may update this notice when RamonY or its data practices change. The current version will be published on this page.
